  Overland Tours
   
You may make a reservation on any tour at any time by clicking on the Reserve a Space link on the top of any page of our website or by emailing us at info@gaypatagonia.com. Since we limit our Escorted group sizes to 8 guests, space is limited; therefore, we recommend you book your space as much in advance as possible. As a reminder, the seasons down here in Patagonia are the reverse of those in the northern hemisphere, which doesn't really impact Package Trips or Customized Vacations, but limits the Patagonian Overlands to the season between October and March. The Northern Chile Overland is available from June to August. Please check the Escorted Tours page for upcoming departure dates.
 
  Customized Trips              
   
Since there are no set departure dates and prices for tailored vacations, once we have fine tuned all the details to your satisfaction, we will ask you to submit a simple reservations form as a way for us to get started formalizing your necessary reservations. If you haven't contacted us yet and would like to see all the opportunities available to you, just email us at info@gaypatagonia.com. You can visit Patagonia as well as other destinations in South America year round.
 
PAYMENT              
  Overland Tours              
   

Since lodging and service payments must be made in advance, we require payment to be made according to the following schedule:

- 75% of total trip cost to be paid at time of booking, no less than 90 days before departure date.
    Entire trip cost may be paid at time of booking, with only 75% classified as the “deposit” in case of a     cancellation, as detailed in the "Cancellations" section below.

- Balance of total trip cost must be paid by one of the following two options: (1) if you prefer to pay via     credit card, final payment must be made no later than 60 days before departure, or (2) to help with     your cash flow, you may pay the balance locally in cash or traveler's checks upon arrival in departure     city depending on tour selected.

Reminder: If you opt for the 25% local payment, it must be made in either cash or traveler's checks.

- If reservation is made less than 90 days before departure date, 100% of total trip cost must be paid at     time of booking, subject to space availability.

Initial payment can be made either by Credit Card (we will send you an authorization form) or via  Bank Wire Transfer into the following account (we assume all transfer fees):

  Customized Trips              
    Please read the policies for our Overland tours above. Differences with tailored vacations are as follows:

- Kuyay is truly a local business, with legal representation only in Puerto Varas, Chile. Therefore, if     your itinerary does not include Puerto Varas or the vicinity, we require the remaining 25% of your total     trip cost to be paid no less than 60 days prior to departure date.

- If our personal services are included in your itinerary, you may pay the remaining 25% of total trip cost     locally, either by travelers checks or cash.

- If your itinerary includes a cruise, we might need to agree on a revised payment schedule, since the     entire cost of the cruise will need to paid nearly 2 months before departure date.

- Obviously each customized trip is unique, and we are very open to working with our clients to make     payment as transparent and painless as possible!
 
CANCELLATIONS              
   
All cancellations must be made via email to info@gaypatagonia.com with fees as follows:

- no less than 60 days before departure date, US$200 processing fee per person,

- 45-59 days before departure date, 25% of deposit
    (if 100% paid at time of booking, remainder repaid in full),

- 31-44 days before departure date, 50% of deposit,

- 30 days or less before departure date, 90% of deposit.

- Note: The cost of any airline tickets paid by Wangulen between time of deposit and cancellation are     non-refundable.

- “No Shows” are not eligible for return of deposit; however, if we are convinced the no-show was     beyond your control, and you would like to reserve a space on another tour, we will work with you to     use your existing deposit, plus any paid lodging and activity reservations incurred due to the no-show.
 
LODGING              
  Overland Tours              
   

Lodging will be provided according to itinerary, with hotels in at least 3-star category, and cabins and lodges of at least comparable quality. Kuyay reserves the right to substitute lodging with facilities in similar categories, depending on availability at time of booking. Single rooms are limited, require a supplemental charge and must be requested at time of booking. Singles not requesting a single room will be booked into a double room, and in the case a shared arrangement cannot be made, the single supplement will be charged.

Important note: These Overland Tours are Outdoors / Nature vacations in either Northern Chile or Patagonia in both Chile and Argentina, depending on the tour. Besides being amazingly beautiful, this part of the world is still traditional; therefore, unlike in the larger metropolitan areas of Santiago, Buenos Aires and Rio, gay-owned hotels and related GLBT services are slower to take hold in these remote areas. Our lodging, for the most part, will be nice cabins and lodges, which makes for a more fun, family-like atmosphere. Felipe is practically a chef, and loves to cook, so we'll have many home-cooked meals!

 
  Customized Trips              
   
Lodging will be determined based on your requirements, and can range from hostals and shared arrangements up to 5-star hotels at most destinations. In the larger cities we are able to work with either Gay-Owned or Gay-Friendly accomodations. Specific hotels quoted while we are working on your itinerary might need to be replaced at time of booking because of availability, but we will present you with your options (detailed hotel info, website links, etc.) before making final reservation.
 
FOOD              
  Overland Tours              
   

We've tried to make your Odyssey as “all inclusive” as possible, so all meals are included in the price.

- Breakfasts will either be provided by the lodging facilities (if Hotel) or by your Tour Hosts (if Cabins),     mostly buffet style, and most commonly with a selection of breads, ham, cheese, butter, spreads, milk,     juices, coffee and tea.

- We will have a combination of restaurant lunches along the trip to test the local cuisine and fresh air     stops along the route for a box lunch, which will vary but include local fruit, sandwiches, nuts, chips,     cookies, juice, bottled water, soft drinks, etc.

- Dinners will either be provided at a local restaurant at our day’s destination or in the lodging facility,     and will usually be a selection of a set menu, including a soup or salad, main dish, drink (water,     juice or soft drink), and either dessert or a  coffee or tea.

       Note: Alcoholic beverages are extra and will be the responsibility of each traveler.

Any special dietary requirements will be detailed in the information you provide after booking, and we will
    work with you throughout the trip to make your culinary experience as pleasant as possible!

 
  Customized Trips              
   

Included meals will depend on specific itinerary of your trip. Breakfasts will be included only in hotels. Some excursions will inlude either lunch or a box lunch. Most, if not all dinners will be excluded from the program, except in specific, limited fully escorted tours. Details about what is and is not included will be provided during our planning of your trip.

Note: Although the drinking water is safe for most travelers, we highly recommend that you drink bottled water whenever possible, which is readily available. Better to be safe than ruin your vacation by spending it in a foreign bathroom!

In Chile, carbonated water is more common than the non-fizzy kind, so if you want plain old bottled water, just ask for "agua mineral, sin gas, por favor."

 
LIMITS TO LIABILITY              
   
Kuyay is not responsible for any personal injury, loss or property damage arising directly or indirectly from acts of God, detention, delays, and expenses related to any strikes, thefts, pilferage, civil disturbances, government restrictions or regulations, quarantines and failure of any means of transport to arrive or depart as scheduled over which Wangulen has no control. We also cannot be held responsible for any loss of life, personal injury, delays, over bookings, cancellations, loss or damage of baggage caused by any domestic flight, lodging stay, transportation or tour service from 3rd parties. In the event it becomes necessary or advisable, for any reason, to change the itinerary or lodging arrangements, Kuyay has the right to do so. Accordingly, any material additional expenses or savings will be shared by passengers.
 
YOUR RESPONSIBILITIES              
   

Travel documents: You are also responsible for securing all required travel documents. As a reminder, during our Odyssey we cross the border between Chile and Argentina twice, so make sure well in advance the necessary travel documents you need depending on your country of citizenship. Obviously, if you have any doubts or questions, just contact us and we’ll help you in any way we can.

Tour: Each Overland tour participant must maintain the safety and well being of the entire group throughout the tour. We cannot be held responsible for any cancellations or itinerary changes related to rude and/or dangerous behavior of tour participants.

Internal flights: You are responsible for making all applicable connecting flights. Kuyay assumes no responsibility for any customer arriving late or being a “no show”. Additionally, domestic flights have a baggage weight limit of 20 kilos (44 pounds) per person, which is half the typical international flight limit. However, for space and comfort during your Odyssey, we highly recommend you bring as little as necessary, and only one suitcase and carry-on per person.

Health & Insurance: If you have any existing medical conditions or food requirements, we ask that you detail them to us in the client information form you will need to complete after booking. This information is to serve you as best we can, and as per our Privacy Policy below, will be kept confidential and never sold or provided to any 3rd party. You must remember that during this odyssey, we will sometimes be in very remote locations, making evacuation or immediate detailed medical attention delayed, difficult, expensive and even impossible. Therefore, it is important that you take special care with any conditions prior to your Patagonian Adventure. Kuyay cannot accept responsibility for costs associated with any needed medical and/or evacuation services which might be needed.

We highly recommend that you purchase short-term travelers insurance which covers baggage, accident, life and trip cancellations prior to your odyssey. We can provide this for you if needed.

Client Conduct: Kuyay reserves the right to remove or ban any individual at any time from any transportation, lodging, domestic flight or tour despite that individual’s purchase of said services, in the event the person’s actions or general deportment put at risk the operation of any services being rendered or impose on the rights, welfare, safety or enjoyment of other travelers. Any refunds given under such circumstances are at the sole discretion of Kuyay.

 
PRIVACY STATEMENT              
   
Kuyay will never publish, sell, rent or otherwise disclose any or your private information to 3rd parties without your written consent. Making a reservation for one of our tours requires payment to be made via secure international wire transfers, so your credit card and other private information will not go through the internet. Any personal information we request from you is only for us to provide you with the very best personal service as possible, is stored on our secure server in California, and will never be distributed to anyone else.
